The Free Letterhead Maker is a browser-based tool from Soft Learn Hub that designs a print-ready business letterhead in A4 (210 x 297 mm) or US Letter (8.5 x 11 in) and exports it as a 300 DPI PDF or PNG, or as an editable Microsoft Word .docx template. Six layouts, automatic logo watermark, Arabic, Urdu and Persian right-to-left support. Free, no sign-up, nothing uploaded. The tool is directly below; the guide follows it.

  • PDF, PNG and Word
  • A4 and US Letter
  • RTL and LTR languages

Designed on your device. Your logo and details are never uploaded.

Drop a logo anywhere on the page, or paste one with Ctrl+V. The preview is the exact size that exports.

Logo

PNG, JPG, WebP or SVG, up to 2 MB. A transparent PNG or SVG looks best.

Company details
Social media
Colours

Turn it off for a clean one-colour design.

Watermark

Greyscale, 3–12% opacity, so it never competes with the letter text.

Language & font

Arabic, Urdu and Persian switch the whole layout to right-to-left. Fonts are free Google Fonts.

PDF and PNG are rendered at 300 DPI, print quality. The Word file is a real template: the letterhead sits in the page header and footer, so you type your letter in the body and it repeats on every page.

What Makes This Letterhead Maker Different?

Five things set this tool apart from a downloadable template, plus a plain list of what it does not do.

    • Real Word template. The .docx places your letterhead in the document header and footer, so it repeats on every page and stays editable in Word.
    • Continuation page. One toggle adds a second-page design with a slimmer header. The PDF exports it as page two, and the Word file uses Different First Page automatically.
    • Right-to-left layout. Arabic, Urdu and Persian switch the whole layout to right-to-left and load script-matched fonts.
    • Automatic watermark. Your own logo becomes a greyscale watermark at 3-12% opacity with one setting.
    • Nothing uploaded. Your logo and details never leave the browser, and there is no sign-up.

What it does not do: there is no template gallery, no AI-generated designs, no printing service, no envelope or business-card design and no Google Docs export. It is one of the free business tools on this site, alongside the free invoice generator and background remover.

How to Make Your Own Letterhead in 5 Steps

Choose A4 or US Letter, pick a layout, add your logo and details, set colours and language, then download as PDF, PNG or Word.

    1. Pick the paper size. A4 (210 x 297 mm) or US Letter (8.5 x 11 in); print-safe margins of 16-18 mm are built in.
    2. Add your logo and details. Select a logo from your device (it stays in the browser); a transparent PNG looks best, and our free background remover can prepare one. Fill in your company name and contact details, hiding any field you do not need.
    3. Choose a layout and colours. Pick Minimal, Corner, Band, Footer, Modern or Executive, set the logo left, centre or right, and choose primary, secondary and paper colours, or one-colour mode. Modern adds a full-width colour bar with an angled accent; Executive sets the company name in spaced capitals (in Latin-script languages) above a classic double rule.
    4. Set language and extras. Pick one of six languages; Arabic, Urdu and Persian switch to right-to-left automatically. Optionally add the logo watermark, vCard QR code or continuation page.
    5. Preview and download. Toggle the sample letter, then export PNG or PDF at 300 DPI, download the Word .docx, or print from the browser.

What Should a Business Letterhead Include?

A business letterhead should include your logo, company name, postal address, phone number, email and website. Registered companies in many countries must also show a registration number and VAT or tax number on official correspondence. The letterhead maker has a field for each of these, plus fax and up to five social handles, and every field has a show/hide toggle so unused items never print.

Which fields to show depends on the organisation. A law firm or accountancy practice usually shows the registration number, tax number and full postal address, and often keeps a fax line. A charity or school often leads with the logo and tagline and puts contact details in the footer using the Footer layout. Switch on the vCard QR code if you want recipients to save your contact details with one scan. Whatever you include, keep the header compact and check the sample letter preview before you export. If you also send invoices, use the same brand colours in the free invoice generator so letters and invoices match.

Can It Build a Microsoft Word Letterhead Template From My Details?

Yes. The Word download is a Microsoft Word letterhead template (.docx) generated from your own details. The letterhead sits in the document header and footer, not as a floating picture, so it repeats automatically on every page and the body area is left free for your letter.

A downloadable template still needs your details typed in; this file is already yours when it downloads. Open it, type your letter and save it as a new document; the header stays in place. Any detail can be corrected later in Word without regenerating. If you enabled the continuation page, the file uses Word’s Different First Page setting: full letterhead on page one, slimmer header from page two.

To reuse it for every letter, save it in Word as a Word Template (.dotx) and start new letters from that. There is no direct Google Docs export; Google Docs can import a .docx, but check header and footer placement before printing. The fonts are Google Fonts with open licences, so you can install them or let Word substitute a close match.

How Does the Second Page Letterhead Work for Multi-Page Letters?

A second page letterhead, also called a continuation page or second sheet, is a slimmer header used on pages two onwards of a multi-page letter. The letterhead maker builds it with one toggle: page one carries the full letterhead and every following page carries a slimmer header, leaving more room for text. The PDF includes it as a second page, and in the Word template it is applied automatically as your letter grows.

Business convention is that the full letterhead appears only on the first page, with the second sheet carrying just enough, usually the company name or logo, for the reader to know who sent it. The Word file implements this with Word’s Different First Page header, so the correct header appears whether your letter runs to two pages or ten, with no copying and pasting. If you want the letterhead on the first page only with plain pages after it, download with the continuation page on, open the .docx in Word, keep Different First Page ticked and clear the page-two header; or print page one on letterhead stock and the rest on plain paper.

Does It Support Arabic, Urdu and Persian (Right-to-Left) Letterheads?

Yes. Selecting Arabic, Urdu or Persian switches the letterhead to right-to-left layout automatically and offers language-matched Google Fonts: Cairo, Tajawal and IBM Plex Sans Arabic for Arabic, Noto Nastaliq Urdu and Gulzar for Urdu, and Vazirmatn for Persian. Hindi (Noto Sans Devanagari) and Chinese (Noto Sans SC) are supported left-to-right, and English offers Inter, Roboto, Poppins and Playfair Display.

Nastaliq script matters for Urdu: generic Arabic fonts render Urdu in Naskh style, which looks wrong to Urdu readers, so Noto Nastaliq Urdu and Gulzar are offered specifically. The PDF, PNG and Word exports keep the right-to-left direction and the chosen font, and the sample letter preview lets you check the layout before you download. For bilingual stationery, for example English and Arabic, export two versions from the same saved design, changing only the language and font between exports.

How Should You Print Your Letterhead? Paper, Margins and One-Colour Mode

Print your letterhead on 100-120 gsm (about 28-32 lb bond) uncoated paper and use the PDF export, which is rendered at 300 DPI at exact A4 or US Letter size. Print-safe margins of 16-18 mm are already applied, so nothing sits in the strip most desktop printers cannot reach. For mono printing or photocopying, switch on one-colour mode before exporting.

There are two ways to print on letterhead: print the finished letter with the letterhead included (open the Word template, type, print), or pre-print blank sheets from the PDF and later run letters through the printer on those sheets, keeping the same margins so the text clears the header. One-colour mode keeps the design crisp on a mono laser printer, and the greyscale watermark, kept towards the low end of its 3-12% range, stays faint rather than muddy.

There is no decorative border option; the Band and Modern colour bars, paper colour and logo watermark are the background choices. Use a logo at least 1000 px wide so it stays sharp at 300 DPI.

    Frequently Asked Questions

Is the letterhead maker really free?

Yes. Every layout, language, field and export, including the 300 DPI PDF and PNG and the Word .docx template, is free with no sign-up, account, trial or paid tier, and no watermark from this site is added to your design. The fonts are Google Fonts under open licences, so no font fee applies.

Does it support Arabic, Urdu and Persian letterheads?

Yes. Selecting Arabic, Urdu or Persian switches the whole layout to right-to-left automatically and offers script-matched fonts: Cairo, Tajawal and IBM Plex Sans Arabic for Arabic, Noto Nastaliq Urdu and Gulzar for Urdu, and Vazirmatn for Persian. Hindi (Noto Sans Devanagari) and Chinese (Noto Sans SC) are supported left-to-right. The PDF, PNG and Word exports keep the same direction and fonts as the preview.

What does the Word download contain?

A real .docx template built from your details, not a picture pasted on a page. Your letterhead sits in the header and footer, so it repeats on every page while the body stays editable. With the continuation page on, Word’s Different First Page setting gives page one the full design and later pages the slimmer header. Edit any detail later directly in Word without regenerating.

Can the letterhead appear only on the first page in Word?

Not as a download option. With the continuation page off, the full letterhead repeats on every page; with it on, page one gets the full design and later pages a slimmer header. For a letterhead on the first page only, open the .docx in Word, keep Different First Page ticked under Header & Footer, and delete the second-page header content. Later pages then print blank apart from your text.

    How does the watermark work?

The watermark is an automatic greyscale copy of your own logo placed behind the letter body at 3 to 12 percent opacity, either centred on the page or just above the footer. It is optional and part of your design, never a branding mark from this tool; nothing is stamped on your export. The watermark appears in the PDF, PNG, Word and browser print output.

What size is the letterhead: A4 or US Letter?

Either. A4 is 210 x 297 mm (8.27 x 11.69 in), the standard letterhead size in most of the world; US Letter is 8.5 x 11 in (216 x 279 mm), standard in the United States and Canada. PDF and PNG are rendered at the exact dimensions at 300 DPI, so an A4 letterhead measures about 2480 x 3508 pixels and US Letter 2550 x 3300 pixels.

What margins does the letterhead use?

Print-safe margins of 16 to 18 mm (about 0.63 to 0.71 in) on all sides, applied automatically in every layout. Most office and commercial printers cannot print right to the edge, so keeping the logo and contact details inside this zone stops them being clipped. When you type letters on the Word template, start body text below the header so letter and letterhead align.

What paper should I print the letterhead on?

A smooth bond or uncoated paper of 100 to 120 gsm (roughly 28 to 32 lb bond) is the usual choice: heavier than copier paper, but still fine for folding and laser printing. Bright white suits colour designs; off-white or cream suits one-colour mode. Hand the 300 DPI PDF to a print shop, and use the PNG for digital letters and email.

    Is my logo uploaded anywhere?

No. The logo and all your details stay in your browser; the preview, exports and Word file are generated on your device and nothing is sent to a server. Your design autosaves to this browser’s local storage, so you can return and keep editing without an account. It is not synced to other devices, and clearing site data removes it, so download your files when you finish.
